What is a PMS, and does a small hotel need one?

It's July, you have 14 rooms, and the same double has just been booked on Booking.com and on Airbnb ten minutes apart. The front desk notebook says it's free. The spreadsheet says it was taken yesterday. Somebody now has to call a guest and explain.

If that's happened to you, you already know why PMS software exists. If it hasn't yet, this article explains what a PMS is, what it does in practice, and when a small hotel or a rooms-to-let business actually needs one.

What a PMS is, in plain terms

PMS stands for Property Management System. You'll also hear it called hotel software or hotel management software. It's the program where the day-to-day running of your property lives: which rooms you have, who's staying where, what they paid, what they still owe and which invoice you issued them.

Think of it as the front desk reservations book, except it updates itself, you can read it on your phone, and nobody in a hurry can misread it.

It isn't the same as the Booking.com extranet. The extranet only shows the bookings that came from Booking. A PMS shows all of them: from the OTAs, the phone, email, your own website and the walk-in who turned up at eleven tonight.

What it does during a normal day

Take an ordinary day at a property with 10 to 30 rooms.

In the morning you open the reservations calendar and see at a glance who's leaving, who's arriving and which rooms need cleaning first. The housekeeper sees the same thing on their phone, so there's no scrap of paper to lose.

Around noon a booking comes in from Expedia. It lands in the calendar on its own and availability closes on every other channel. That part is the channel manager's job, and in a modern system it's part of the same software rather than a separate subscription.

In the afternoon you check in a family. Their details are already there, the deposit shows as paid and the balance is charged in two clicks. The invoice is issued and, in Greece, sent to myDATA without opening another program.

In the evening, instead of adding things up in Excel, you see occupancy, average rate and how much you paid in commission this month.

None of this is magic. It's work you would otherwise do by hand, two or three times over.

Does a small hotel need a PMS?

The honest answer is that it depends, but the threshold is lower than most owners think.

If you have three rooms, sell on one channel and do everything yourself, a good calendar and some discipline might be enough. Once any of the following is true, though, the manual system starts costing you.

You sell on two or more channels. As soon as the same room appears on Booking.com and Airbnb, updating them by hand is only a matter of time before something slips. An overbooking in high season doesn't just cost you the booking. It costs you a bad review that stays up for years.

Someone else works the front desk. When the information lives in your head or your own notebook, the colleague on the night shift is guessing.

Your accountant asks for the same file every month. With myDATA, e-invoicing and the per-night climate resilience fee, a Greek hotel's tax admin is no longer something you can leave until the end of the month.

You want more direct bookings. For your website to take bookings, something has to know your availability in real time. That something is the PMS.

What it costs to go without

You see the cost of software in the subscription. Nobody sees the cost of not having it, because it's spread across lots of small pieces.

It's the half hour every morning spent copying bookings from one window to another. It's the rate you changed on Booking and forgot on Airbnb, so you sold a week in August at May prices. It's the deposit nobody remembers being paid. And it's never being able to leave the property for a day, because everything goes through you.

We won't give you a number, because every property is different. Try counting, for one week, how many hours go into jobs like these. Most owners who do it are surprised.

What to look for in a PMS for a small property

Large hotels have IT staff and time for training. You probably don't. So the criteria are a little different.

One system, not three. Calendar, channel manager, booking engine and invoicing in the same place. If you still need two more subscriptions next to it for the basics, the simplification you were after never arrived.

It knows Greek tax rules. Sending invoices to myDATA and handling the climate resilience fee should happen inside the booking flow, not through exports and uploads. We wrote in detail about why international systems struggle here.

It works on your phone. At a small property hardly anyone sits at a desk. If the software needs a computer just to check arrivals, you'll end up avoiding it. That's why most properties today go for a cloud system rather than software installed on a server.

It's set up in days. Moving your rooms, rates and existing bookings across shouldn't be a months-long project. Ask who does it, you or them.

Someone answers in your language. In August, when something breaks at ten at night, a feature list won't help you. A person on the phone will.

If you'd like a longer checklist, we have five questions to ask before choosing a PMS.

How to start without wrecking your season

The best time to switch systems is off season, when you have time to learn the software before the pressure arrives. If you're reading this in winter, you're in a good spot.

Start simple. Enter your rooms and the bookings you already have for next year, connect the channel that brings you the most bookings first, and leave the rest for later. After two weeks of daily use you'll know whether it suits you.
