Direct Bookings Playbook: 7 Tactics That Actually Work

Everyone talks about direct bookings but few share the moves that actually work. Here are seven tactics small Greek properties use when they hit 35% to 50% direct mix. They apply to your business without spending hundreds of thousands on marketing.

Tactic 1: Direct rate always equal to or below OTA

This is the most basic rule and the most ignored. If your website shows €110 and Booking.com shows €100, the visitor who saw your hotel on Google will end up checking out on Booking.com.

How to fix it. In the PMS, set your website rate equal to Booking, with a simultaneous voucher or 5% discount for direct bookers. The guest sees the same headline number, but if they check out on your site, they get the upgrade.

Does this break rate-parity rules? Generally no, but it depends on the exact wording of your contract with each OTA. Added-value items (transfer, breakfast upgrade, late checkout) are usually the safer route. Hidden flat discounts or coupon codes that drop the final price below the OTA rate sit in a grayer area. Check your contract before you set it up.

Tactic 2: Returning guests via WhatsApp

The cheapest direct booking is the one that comes from someone who stayed last summer. Almost free marketing.

The problem is most hoteliers have no systematic way to keep in touch. They send one email after 6 months (that lands in spam) and that's it.

What works. WhatsApp message in early February to last summer's guests. Not spam. Personal: "Hi Maria, hope you're well. Planning to come back this year? I'm holding 10% off if you decide before end of March."

Response rate to this kind of message is 25% to 45%. Conversion rate is 8% to 15%. In a property with 80 guests last year, that's 6 to 12 direct bookings. Pure profit.

Tactic 3: Captive checkout during the stay

The guest is already inside your apartment. If you ask them whether they'd come back, the answer rate is high. Especially if they had a great time.

What works. On checkout morning, send a guest message. "Thanks for staying. If you want to come back, we're offering 15% off direct bookings within the next 12 months. Book here: [link with preset code]."

In hospitality, repeat rate is usually 15% to 25% for quality properties. If you hit them in this happy-memory window, conversion rate goes up 50%.

Tactic 4: Email after the OTA review

The guest left a Booking review. Booking won't share their email (privacy). But during the stay you probably got their email for WiFi setup, services, or simple communication.

Send an email 3 days after checkout. Thank them. Tell them next time they can book direct and skip the commission. Give them a link with a code. Tell them booking through your site comes with a small extra (better room, late check-out, welcome drink).

You're in their head. You're in their inbox. When they plan their next visit or have friends coming, they remember you.

Tactic 5: Brand-keyword Google Ads

When someone googles "Roomismo Boutique Santorini," what's the first result? Usually a Booking.com listing. Booking is paying to show up at the edges of your brand.

You can buy your own brand keyword on Google Ads for pennies. Someone searching for you by name is almost a guaranteed buyer. Don't let them land on Booking.com. Send them to your site.

Budget: €100 to €300 a month for a boutique property. Conversion on this traffic is 10% to 20%. Cost per direct booking often under €5.

With 18% commission on a €600 booking equal to €108 saved, the payback is immediate.

Tactic 6: A booking engine that looks premium

The booking engine is the checkout. If it looks cheap, if it doesn't load on mobile, if it shows no images, the guest will bounce back to Booking.

What makes a difference. Fast load. Big images. Clear pricing without surprises. Multiple languages (Greek, English, German if you have a German audience). Multiple currencies. Instant card payment. SSL. Trust badges.

Especially the mobile experience. Over 65% of hospitality bookings now happen on mobile. If your booking engine isn't mobile-first, you're losing two thirds of your traffic.

This is the biggest filter. Bigger than marketing budget.

Tactic 7: A network of local partners

If you run a villa on Naxos, there are car rentals, restaurants, dive shops serving the same guests as you. A mutual referral system costs nothing.

What works. An agreement with 3 local businesses. They send guests to you (on return visits or via referral). You send guests to them. You give the guest better quality of life and everyone earns.

On top of that, for local events (weddings, conferences, festivals), the organiser often needs lodging for 20-50 people. If you're part of the local business community, they recommend you.

This works best in smaller communities. On a large island like Crete, you need a more targeted approach.
