A guest confirms by phone and needs to pay a deposit. The next arrival needs a room that's free for the whole stay. Meanwhile, there's a supplier invoice to record and a new colleague learning how the calendar works.
Our recent Roomismo updates focus on that everyday work. We've expanded expense management and payment options, added tools for room allocation and preparation time, and made it easier to review performance and learn the software. We've also added an AI assistant for property teams.
Here's what those changes mean when you're running a property.
From a confirmed reservation to a paid deposit
A phone or email booking still needs a practical way to collect payment. With payment links, you can prepare a payment request from the reservation and share it with the guest, who completes the payment through your connected provider.
The options now include Nexi/Alpha Bank alongside Viva. You can request a deposit or a remaining balance, with the payment connected to the relevant reservation charges. Your team can follow the payment in Roomismo instead of treating the request as a separate piece of correspondence.
The provider connection needs to be set up for your property first. Once that's in place, the link gives guests a clear next step after agreeing to a stay.
Direct bookings made through your booking engine have another useful addition: conversion tracking. Roomismo supports Meta Pixel and Google Tag Manager, with completed-booking events that include booking value and currency.
That gives you an event tied to a completed reservation, beyond visits to the booking page. If you use Google Tag Manager to send events to Google Ads or GA4, those destinations still need to be configured. Your tracking setup can then use the booking event to measure the outcome of a campaign.
Make better use of the rooms you already have
An availability problem can sometimes come from the way reservations are assigned. Imagine two equivalent rooms. One has an upcoming two-night booking at the start of a four-night period, and the other has a two-night booking at the end. There's spare capacity each night, but neither room is free for all four nights.
Automatic room allocation can rearrange eligible upcoming stays within the same room type so that a room becomes available for the incoming booking's full stay. In this example, the two shorter stays could share one room on different dates, leaving the other free.
The feature works with stays that can safely be reassigned, without moving checked-in guests. It needs to be enabled for an eligible property; the current option is restricted where smart locks are installed. It helps with gaps in room assignments, while a genuinely full property still has its normal capacity limits.
There are also days when you deliberately want to leave a room unavailable. A villa might need a full day of preparation between guests, even when the cleaning work itself takes less time.
With turnover buffers, you can configure preparation days by room type. Roomismo maintains the corresponding holds before and after stays and reflects them in connected-channel availability. When a reservation changes or is cancelled, the associated holds are updated too.
This gives preparation time a place in the availability calendar. Your housekeeping workflow can then deal with the work that needs to happen during that time.
Keep the costs beside the operation
The supplier invoice from that busy morning now has a home in expense management. Record the expense against a supplier and category, track whether it's paid, and filter the list to see what still needs attention. Totals bring the paid and unpaid amounts into view.
Regular costs can be organized as recurring expenses, with weekly or monthly schedules. You can also export expenses to CSV when you need to work with the records outside Roomismo.
For properties using the relevant AADE myDATA connection, supplier invoices received through myDATA can be imported into expenses. That extends the financial workflow beyond issuing your own guest invoices and gives your team less information to re-enter. The import requires the appropriate feature and connection credentials.
Recording a cost and marking its status helps you keep track of it; the expense screen doesn't make the supplier payment for you.
See how the month went
Daily decisions happen in the calendar, but owners also need time to look at the property as a whole. The new monthly owner report brings a summary of the previous complete month to the inboxes of active users with the relevant finance permissions.
The email covers room revenue and occupancy, alongside average daily rate and revenue per available room. It includes comparisons with the previous month and the same month a year earlier, plus booking-channel performance and other reservation measures.
It's a useful starting point for looking more closely at a change in occupancy or the balance between direct and channel bookings. The report currently arrives in English and focuses on property performance, rather than calculating an owner's settlement or a complete profit-and-loss statement.
Help the next colleague find their feet
New tools are more useful when the team can learn them during the working day. Roomismo's built-in Help Center now has over 200 video tutorials, with English and Greek options.
Staff can search for a task or browse by topic, whether they're learning to create a reservation or checking a workflow they haven't used recently. The videos are available inside Roomismo, so a colleague can find the relevant demonstration while working in the app.
An AI assistant for your property team
The Roomismo AI assistant helps property teams check live property information and prepare actions for a person to review.
For example, a member of staff can ask about availability or use a guest's message to prepare a reservation. The assistant also supports preparing reservation imports from spreadsheets and CSV files, as well as supported PDFs and images.
Review is part of the workflow. Staff check the proposed details and confirm supported changes before they're applied, and the assistant works within their current property permissions. File imports also have size and format limits.
To see how these updates fit your property, talk to the Roomismo team. We can walk through the relevant workflows and check which features and provider connections are available for your setup.
